Before you return, read the last visit

Before you walk into a location, a quick look at the last visit can change the conversation. You can ask about the detail you noticed last time instead of starting from memory. This is useful for a manager returning to their own store after a few days away, or a field leader moving between several locations.

These steps use saved visit history in the live web companion for existing OperatorOS customers. You need a visit already saved to your account. Reading saved notes does not require generating a new AI analysis. Web-only signup and billing remain coming soon.

Begin with the question you want answered

Imagine that you visited the fictional Harbor Market last Thursday. Your notes mention a crowded collection counter during the afternoon rush. The team planned to try a different staging arrangement. Before your next walk-through, you want to remember the observation and ask whether the change helped.

You do not need to reread every record. Choose the visit connected to that question, then check its date and location so you are working from the right conversation.

Last visit: collection counter crowded around 3 PM. Next question: what happened when the team tried the new staging arrangement?

Open the saved visit

  1. 1Sign in to the OperatorOS web companion with your existing account. Choose Work, then open Visits in the sidebar.
  2. 2Find the relevant visit by its date and displayed store name or number. Select the visit row to expand it.
  3. 3Read the saved summary, when present. Check whether it is labeled Confirmed closeout or AI draft · unconfirmed.
  4. 4Review Pre-Visit Notes, Parking Lot Notes and Voice Transcription when those sections are available. Compare the summary with the original detail before relying on a specific statement.

Only sections with saved content appear. If there is no transcript, that does not mean something failed; the visit may simply contain written notes. If your list is empty, the page directs you to start a visit from the iOS app.

Separate the observation from the outcome

A note about Thursday describes Thursday. It does not prove the same issue is happening today, or that the proposed change worked. Use the record to form a clear question, then listen to the answer and look at the current situation.

The Completed badge describes the visit record. It does not establish that every promise made during that visit has been fulfilled. Review any separately saved commitments when you need to check the next action or due date.

Bring one useful point into the next conversation

Practical tip: choose one observation to recognize and one question to revisit. This keeps preparation focused and gives the team room to explain what changed. For Harbor, you might recognize the clearer counter layout, then ask what still gets in the way during the rush.

Your expected result is a better starting point: the right location, the last recorded context and a question grounded in what you actually saved. After the conversation, capture the new observation or agreement so the next visit starts with that updated context.
