Data We Collect

Our apps (OperatorOS and Interview Assistant) collect the minimum data necessary to provide their functionality. This includes your account information (name, email), store data you enter, visit recordings and transcriptions, interview recordings and analyses, and other content you create. All data is stored securely in Firebase (Google Cloud) under your authenticated account.

Audio Recordings

Audio recording begins only after you start it, and you are responsible for obtaining legally required consent. OperatorOS attempts on-device transcription and can send audio to the authenticated OperatorOS server for OpenAI transcription when server transcription is required. OperatorOS does not intentionally retain that server-transcription upload after the request completes.

Third-Party AI Data Processing

Our apps use OpenAI through the authenticated OperatorOS server to power requested analysis, summaries, briefings, transcription, and action suggestions. Provider credentials stay on the server and are never included in the app.

What may be sent to OpenAI:

  • Interview transcripts (text generated from your audio recordings)
  • Candidate information you enter (name, position, store number)
  • Interview guide text (questions and evaluation criteria)
  • Store visit notes and transcripts (OperatorOS only)

What is NOT sent:

  • Your account credentials or payment information
  • Photos or attachments

Data is transmitted over encrypted connections and used to provide the feature you request. For more information, see OpenAI's Privacy Policy.

Data Storage

Your synchronized data is stored in Google Firebase under your authenticated account. OperatorOS is designed as a private, single-user workspace; it does not give an employer or teammates access to your account. Photos and attachments you add may be uploaded to Firebase Storage so they remain available with your records. We do not sell personal information or use it for targeted advertising.

Product Analytics and Subscriptions

OperatorOS uses Firebase Analytics to measure events such as onboarding progress, feature use, and subscription-screen views. These events may be associated with a pseudonymous account identifier and basic device or app information. RevenueCat processes your app user identifier, product identifiers, entitlement status, and purchase lifecycle information so the app can keep Pro access in sync. Apple processes payment details; OperatorOS does not receive your full payment-card information.

Your Rights

You can initiate permanent account deletion from Settings. This removes your authentication identity and user-scoped cloud data, subject to limited records we must retain for security, fraud prevention, or legal compliance. You can also request access, correction, export, or deletion by contacting us at support@operatoros.app.
