Keep your store’s reference details current

Some store details are useful every time you return: the right address, the store phone number and a short reminder about the location. Keeping those details on the existing store record gives your notebook a dependable starting point. A manager of one store can use it as a reference; someone visiting several can avoid mixing up similar locations.
These steps use Locations in the live web companion for existing OperatorOS customers. Updating a location requires write access to your account. Web-only signup and billing remain coming soon.
Keep reference information with the location
Imagine a fictional manager, Morgan, overseeing Birch Market’s North and South locations. The North location has changed its store phone number. Morgan also wants to keep a confirmed note that visitor parking is behind the building. These are details worth finding again without opening last month’s visit.
The location editor has fields for Store Name, Store Number, Address, Store Phone and Notes, along with manager information. Use them for current reference details. A specific observation from a walk-through belongs in the visit history; an action you promised belongs in a commitment.
Update the existing record
- 1Sign in to the web companion with your OperatorOS account. In Work, open Locations and choose the store you want to review.
- 2Check the name and number before editing. On the location page, choose Edit Store.
- 3Update the relevant fields. Keep Store Name and Store Number filled in; both are required. For this example, Morgan changes Store Phone and adds the confirmed parking detail to Notes.
- 4Read the existing Notes before changing them. Keep still-useful information and replace only what is out of date, rather than overwriting the entire field with one new detail.
- 5Choose Save Changes and check for the Store updated confirmation. Reopen Edit Store to verify that the intended values were saved.
Give the next visit useful context
A concise reference note might read: “Visitor parking behind the building. Enter through the main customer entrance. Confirmed September 30.” That is more useful than “parking is confusing,” because it records what the manager should do and when the information was checked.
Practical tip: add a checked date to details likely to change. The date is something you write in the note, not an automatic verification by OperatorOS. Before relying on an old instruction, confirm that it still applies.
If a new manager takes over, review the manager fields for accuracy too. A name in the location profile is reference information; it does not invite that person into your account or grant access to your notebook.
Keep one location history together
Edit the existing location when its details change instead of creating another store just to capture the update. That keeps the location record you already use as the place to return to for related work. This workflow updates reference fields; it does not rewrite past visit notes or complete outstanding commitments.
The expected result is a store profile you can trust for the basics, with clear reference notes that make your next visit easier. You can then spend your preparation time on the conversation and follow-up, rather than reconstructing where to go or which number to call.
