Keep a dated copy of your work records

Your notebook is more useful when you can keep a copy outside the app. Before a monthly review or a change in your own filing system, a dated export gives you a reference to the work records saved in OperatorOS. It works for someone managing one location or several, without needing to copy each note by hand.

These steps use Export workspace in the live web companion for existing OperatorOS customers. This guide covers a copy of supported work collections, not Personal records or downloaded media files. Web-only signup and billing remain coming soon.

Decide what you need the copy for

Imagine a fictional manager, Alex Rivera, at Willow Market. Before preparing a monthly review, Alex wants a dated copy of saved visits, meeting text and follow-ups. The goal is a personal reference, not a report to send to the whole team.

OperatorOS exports these records as JSON, a structured text format that preserves fields and record identifiers. It is useful for keeping the underlying information together. It is not a formatted presentation or a spreadsheet ready for a meeting.

Prepare the download

  1. 1Sign in to the web companion with your existing OperatorOS account. In Work, open Search & export.
  2. 2Find Keep a complete copy and choose Export workspace. Wait while the button says Preparing export….
  3. 3When Export prepared appears, check your browser’s downloads for the file named operatoros-workspace followed by a date and the .json extension.
  4. 4Open the downloaded file with a text viewer or another tool you trust. Confirm that it contains an exportedAt timestamp and the collections you expected before treating the download as your saved copy.

The date in the filename and the exportedAt timestamp use UTC, so the filename date can differ from your local calendar date near midnight. Keep the original timestamp with the file when you organize it.

Know what is inside

The export includes supported work collections such as locations, visits, commitments, notes, meetings, interviews, People and performance records. It preserves full text, original record IDs and available source fields. The collections are read when you request the export; this is not a continuous backup that updates afterward.

The current workspace export also includes deleted records still present in those collections. Do not assume a record is absent from the download just because you no longer see it in the normal list. Review the file before sharing any portion of it.

Attachment references and IDs are included, but the media files remain at their authenticated storage locations. A reference to a photo or recording is not an offline copy of that media. Personal has a separate export in its own space and is not included by this Work export button.

Check the result before you rely on it

Practical tip: save the file in a private folder with a short note about why you exported it, such as “before monthly review.” Keep that note outside the JSON so the original structure stays intact. Avoid uploading the whole file to another service when you only need one small detail from it.

If the page says the complete export could not be prepared, no partial export was downloaded by that attempt. Retry when your connection is working, and check the actual file rather than assuming a button press produced a usable copy.

The expected result is a dated reference you can inspect independently of the app. Exporting does not delete or change your OperatorOS records, and this workflow does not provide an automatic restore or import.
